Personal Assistant to the Director

Position Summary

The Assistant is responsible for facilitating coordination and assisting the Director to carry out her tasks smoothly. The person would also be the point of contact in the absence of the Director.

Responsibilities

1) Handling & scheduling the appointments & meetings of the Director (with clients, departments, employees etc).
2) Taking dictation, making of minutes at these meetings & circulating them to respective departments.
3) Dealing with correspondence & following up on emails to the contacts of the company & the Director.
4) Maintaining confidential affairs of the company.
5) Travel Management
6) Managing guest relations, including expatriates.
7) Maintaining relations with the press.
8) Maintaining a database for all the information required by the Director & creating MIS Reports.
9) Help with creating presentations.

Personal Attributes

1) Highly organized person with good co-ordination skills.
2) Innovative/creative, excellent communication (written & verbal) & inter-personal skills.
3) Pleasing personality, self-motivated and independent person.
4) Proficiency in MS Word, Excel, PowerPoint, Photo shop or equivalent software.
5) Knowledge of Short hand would be an advantage.
6) Should be open to traveling.
7) Knowledge of foreign languages would be an advantage.
8) Experience of working in a production facility a plus.
9) Smart Freshers may be considered.
